Welcome to NXT PCS (“NXT PCS,” “We,” “Our,” or “Us”). NXT PCS is an AI-powered career platform designed to assist veterans in transitioning to civilian careers by helping users create resumes, cover letters, professional profiles, and discover employment opportunities.

NXT PCS is an independent company and is not affiliated with the U.S. Department of Defense, the Department of Veterans Affairs, or any other governmental agency.

This Privacy Policy explains how we collect, use, disclose, store, and protect your personal information when you access or use our website, applications, and related services (collectively, the “Services”).

By using the Services, you acknowledge that you have read and understand this Privacy Policy.

1. Information We Collect

We collect information that you voluntarily provide, information generated through your use of the Services, and certain information collected automatically.

Information You Provide

Depending on how you use the Services, we may collect:

  • Name
  • Email address
  • Account credentials
  • Military background information
  • Employment history
  • Education
  • Certifications and licenses
  • Skills and qualifications
  • Career preferences
  • Resumes
  • Cover letters
  • DD-214 forms
  • Performance evaluations
  • Military service records
  • Awards and commendations
  • Any additional documents or information you voluntarily upload.

Documents you upload that may contain sensitive information not necessary for our Services, such as Social Security Numbers found on DD-214 forms or other military records, are processed through an automated redaction process. This information is removed and is not retained by NXT PCS. We retain only the information necessary to generate resumes, cover letters, and other supported outputs.

AI-Generated Content

Using the information you provide, NXT PCS may generate:

  • Resumes
  • Cover letters
  • LinkedIn summaries or profiles
  • Career recommendations
  • Skills analyses
  • Career field match scores, generated by analyzing the information you provide against available career paths
  • Other employment-related content.

Automatically Collected Information

We may automatically collect:

  • IP address
  • Browser type
  • Device information
  • Operating system
  • Log data
  • Pages visited
  • Features used
  • Session information
  • Cookies and similar technologies

2. Ownership of Your Content

You retain ownership of all resumes, military records, evaluations, cover letters, performance reviews, and other documents, information, and content you upload or submit to NXT PCS (“User Content”).

By uploading or submitting User Content, you grant NXT PCS a limited, non-exclusive, revocable license to access, process, store, transmit, and analyze your User Content solely as necessary to provide, maintain, improve, secure, and support the Services you request.

We do not claim ownership of your User Content.

3. How We Use Your Information

We use your information to:

  • create AI-assisted resumes, cover letters, and professional documents;
  • personalize your experience;
  • save your documents and account information;
  • recommend employment opportunities and career resources;
  • improve our Services and AI-powered features;
  • communicate important account and service updates;
  • maintain the security and integrity of the Services;
  • process token and credit purchases and manage your account;
  • comply with legal obligations; and
  • prevent fraud, abuse, and unauthorized use of the Services.

4. Artificial Intelligence

NXT PCS uses artificial intelligence and other automated technologies to analyze the information you choose to provide and generate employment-related content.

Our Services are hosted using Amazon Web Services ("AWS") and may utilize artificial intelligence models made available through AWS Bedrock to provide AI-powered features and functionality.

AI-generated resumes, cover letters, career recommendations, interview materials, and other outputs are intended to assist you in your job search.

Because AI-generated content may contain inaccuracies, omissions, or outdated information, you are solely responsible for reviewing, editing, and approving all content before submitting it to employers or otherwise relying upon it.

NXT PCS does not guarantee employment opportunities, interviews, hiring outcomes, or the accuracy of AI-generated content.

NXT PCS uses automated processing to generate a match score reflecting how your submitted information aligns with various career fields. This processing is a core feature of the Services and is required to use the platform; NXT PCS does not offer an option to use the Services with this processing disabled. Match scores are informational and intended to help guide your own career decisions. They are purely user-facing and are not shared with or visible to employers or other third parties, and do not determine any employer’s hiring decision.

Your uploaded content and personal information are not used to train, fine-tune, or otherwise improve any artificial intelligence or machine learning models, whether owned by NXT PCS or by any third-party provider.

5. How We Share Information

We may share your information only as reasonably necessary to operate the Services or otherwise described in this Privacy Policy.

Service Providers

We may share information with trusted third-party service providers that assist us in operating the Services, including providers of:

  • cloud hosting providers;
  • artificial intelligence providers;
  • payment processors;
  • analytics providers;
  • authentication providers;
  • customer support providers; and
  • cybersecurity and fraud prevention service providers.

These providers are authorized to process personal information only as necessary to perform services on our behalf or as otherwise permitted by applicable law.

Payments

Purchases made through NXT PCS, including tokens and credits for the Premier platform, are processed by Stripe, Inc. We do not collect or store your full payment card information.

Stripe processes payment information in accordance with its own privacy practices. We may receive limited information from Stripe, including payment confirmation, purchase status, billing country, and transaction history necessary to administer your account.

Pricing, access windows, redemption terms, expiration, and refund terms for tokens and credits are governed by our Terms of Service.

Employment Features

We may use your information to identify job opportunities and provide employment recommendations.

Unless you affirmatively choose to apply for a position, we do not share your resume or profile directly with employers.

With Your Consent

We may share your information with third parties.

Aggregated and De-Identified Information

We may create, use, and disclose aggregated, anonymized, or de-identified information that cannot reasonably be used to identify you. We may use this information to improve the Services, develop new features, analyze platform performance, conduct research, or for other lawful business purposes.

Legal Requirements and Protection of Rights

We may disclose information when we believe such disclosure is necessary to:

  • comply with applicable law, legal process, or governmental requests;
  • enforce our Terms of Service or other agreements;
  • investigate fraud, security incidents, or suspected illegal activity;
  • protect the rights, property, or safety of NXT PCS, our users, or others; or
  • establish, exercise, or defend legal claims.

Business Transactions

If NXT PCS is involved in a merger, acquisition, financing, corporate reorganization, bankruptcy, or sale of assets, personal information may be transferred as part of that transaction.

6. Job Listings

Job opportunities displayed through NXT PCS may be obtained from third-party sources.

We do not guarantee:

  • the accuracy of job listings;
  • the completeness of job descriptions;
  • the continued availability of any position; or
  • that employers will respond to applications.

Users should independently verify employment opportunities before relying upon them.

7. Information You Should Not Upload

Please do not upload:

  • classified information;
  • Controlled Unclassified Information (CUI);
  • export-controlled information;
  • documents that you do not own or have permission to use;
  • information that infringes another person’s intellectual property rights; or
  • information that you are not legally authorized to disclose.

8. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, and destruction.

However, no method of transmitting or storing information electronically is completely secure, and we cannot guarantee absolute security.

9. Data Retention

We retain personal information only for as long as reasonably necessary to:

  • provide the Services;
  • maintain account functionality;
  • comply with legal obligations;
  • resolve disputes;
  • enforce our agreements; and
  • maintain backup and disaster recovery systems.

If you request deletion of your account, your account will first enter a seven (7) day deactivation period during which you may reactivate your account if the deletion request was made in error.

Following the deactivation period, we will delete or de-identify your personal information within a commercially reasonable period, except where retention is required by law or reasonably necessary for legitimate business purposes, including maintaining secure backup systems.

10. Cookies and Analytics

We may use cookies and similar technologies to:

  • maintain login sessions;
  • remember user preferences;
  • analyze usage trends;
  • improve the Services; and
  • enhance user experience.

You may disable cookies through your browser settings; however, certain features of the Services may not function properly.

11. Your Privacy Rights

Subject to applicable law, you may request to:

  • access your personal information;
  • correct inaccurate personal information;
  • delete your personal information;
  • download information associated with your account; and
  • opt out of non-essential communications.
  • opt out of the sale of your personal information.

Even if you opt out of marketing communications, we may continue to send account-related, billing, security, legal, and other service-related communications that are necessary to provide the Services.

Because AI-based career match scoring is necessary to provide the Services, we do not offer an opt-out for this specific processing. See Section 4 (Artificial Intelligence) for more information.

We will respond to your request within forty-five (45) days of receipt. If reasonably necessary, we may extend this period by an additional forty-five (45) days, in which case we will notify you of the extension and the reason for the delay before the initial 45-day period expires.

To verify your identity before fulfilling a request, we will confirm the request using the email address associated with your account. We may decline to act on a request if we are unable to verify your identity.

If we deny your request, in whole or in part, you may appeal that decision by contacting us using the information in Section 16 and requesting an appeal. We will review your appeal and respond within forty-five (45) days of receipt, which may be extended by an additional forty-five (45) days when reasonably necessary.

12. California Privacy Rights

If you are a California resident, you may have rights under applicable California privacy laws, including the right to request access to, correction of, or deletion of certain personal information, subject to applicable exceptions.

NXT PCS may sell your personal information, and you have the right to opt out of the sale of your personal information. To opt out, please use the opt-out option available in your account settings, or email us at the address listed in Section 16.

We will not discriminate against you for exercising your privacy rights.

13. Children’s Privacy

The Services are intended ONLY for individuals who are at least eighteen (18) years of age and older. Please do not use the Service if you are under the age of eighteen (18). We do not knowingly collect personal information from anyone under 18.

14. Intended Geographical Use

NXT PCS is intended for users located within the United States, its territories, protectorates, and designated United States military facilities. The Services are not directed to, and should not be used by, individuals located in jurisdictions where additional privacy laws may apply, including the European Economic Area or the United Kingdom.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

If we make material changes, we will update the Effective Date above and may provide additional notice through the Services.
